The Oman Human Rights Commission, represented by Honorable Sheikh Abdullah bin Shuwain Al Hosni, Chairman of the Commission, signed a document with the National Records and Archives Authority, represented by His Excellency Dr. Hamad bin Muhammad Al Dhawani, the Chairman of the Authority, on adopting a classification system and scheduling the periods for retaining private documents.
The classification system that has been adopted has passed through several stages, the last of which is the approval of the final National Archives and Records Authority on the tables for the Commission and its classification system, in implementation of the requirements of the National Records and Archives Law promulgated by Royal Decree No. (60/2007).
The work teams of the Commission during the last period in coordination with the specialists of the National Archives and Records Authority, exchanging field visits to prepare a nominal list of the types of documents and private files. During the visits, the procedural tools for preparing the schedules for the retention of documents and their classification system were developed.
These procedural tools are considered the main pillar for building a modern system according to the latest international specifications and standards adopted in this field
The system is based on recording documents, classifying and coding them according to the classification system prepared for this purpose in order to distinguish them and facilitate their reference. It is also possible to build and implement this system in handling documents from their inception and through the stages they go through. This system will help in codifying all the processes of destruction, conversion and posting of documents on the one hand and respecting the periods of their retention on the other hand.
By the introduction of this system, the documents section of the Oman Human Rights Commission, in coordination with the specialists of the National Archives and Records Authority, will work on training the Commission’s employees on methods of applying the documents management system tools.
